Key Responsibilities

Provides high quality administrative and office professional support to the Technology and Analytical teams located at the Allison Park Coatings Innovation Center.  The ideal candidate will be experienced in a fast paced, ever changing global environment and be the lead for the administrative and office management activities supporting a Director his team.  The ideal candidates will work independently to produce quality results and manage sensitive information with discretion and confidentiality.

Takes initiative, works independently and proactively manages multiple priorities to completion in a fast paced, results oriented environment.

Strong organizational and communication skills; able to interface effectively with a diverse population at various levels, both internal and external to PPG.

Flexible and able to adapt to priority changes and demands from multiple stakeholders.

Prepares correspondence, presentations, analytical reports and other special projects as required.

Arranges domestic and international travel, including acquiring all necessary travel (domestic and international) documentation including tickets, passports, visas and itineraries.

Coordinates and arranges all internal and external department visits and meetings, including pre-visit paperwork, catering, conference room arrangements, audio/visual, agenda, reservations and transportation.

Manages the day-to-day office administrative activities, including multiple staff calendars.

Processes expense reports, ensuring accuracy and policy adherence.

Processes Finance requests and acts as liaison for check requests, invoices, payment inquiries, and assistance with setting up purchase orders.

Responsible for the operation of office equipment, including printers, scanners, projectors, etc.

Responsible for inventory of office supplies and placing order for replenishment as necessary.

Coordinates and accurately maintains attendance records for the department.

Handles email, phone, and video communication in a professional manner.

Maintains department files and correspondence according to record retention guidelines.

Provides backup for other members of the administrative team as needed.

The role of Sr. Administrative Assistant requires an Associate’s degree or equivalent and a minimum of at least 5 years of experience as an Executive Administrator.  A college education is desirable. 

Functional and Technical Skills

The incumbent must be a self-starter, able to work independently, proactively address issues and represent PPG internally and externally in a positive manner.  Excellent communication, interpersonal skills, self-motivation, reliability and professional demeanor are required.  Proficient in Outlook, MS Office, Word, Excel, PowerPoint, and SharePoint software.  Working knowledge of Access and Pivot tables is desired.
