R7570 Space & Relocation Specialist (Open)
The Space & Relocation Senior Analyst serves as the unit lead on disposition of corporate, internal and cross divisional move, relocation and office closing projects. Serves as the main point of contact for business partners to coordinate timely execution of space and relocation projects. Develops, oversees and improves space and relocation processes and resource coordination within the division. Partners with management in the administration and oversight of divisional budget, metrics, planning and processing.
This position is a hybrid of Project Management and Space Management/Problem Solving skills incorporating a knowledge of used furniture components and functionality. A Specialist allocates spaces and executes the transformation of existing spaces in ways that support efficient and effective work spaces using current furniture standards which are set by a separate design team.

Specialized Knowledge and Skills Requirements
Demonstrated experience providing customer-driven solutions, support or service
Basic knowledge and understanding of project management methodologies, practices, techniques and tools.
Basic knowledge and understanding of furniture and facility layouts.
Demonstrated experience in leading several complex projects at the same time.
Demonstrated experience using Microsoft Excel to perform analysis.
Demonstrated experience working with external vendors and managing vendor relationships.
This position requires travel up to 10% of the time.
This position requires the ability to lift up to 25 pounds between 1 and 33% of the time.

Relocation Project Planning & Administration (30%)
Serves as the central planner and scheduler for all moves. Schedules assignments to Moves & Allocation Staff based on property, workload, and capacity. Coordinates and monitors multiple projects simultaneously to ensure proper allocation of projects within budget and time constraints.
Develops and recommends options that respond to business needs of the operating units. Consults, develops and implements projects with internal business needs for interoffice moves, additions, closings and changes.
Handles sensitive information related to moves, additions, and closings in a confidential manner.
Collaborates with business partners to ensure consistent department processes and project priorities.
Consults with multiple internal business partners to aquire functional requirements and incorporates those requirements into project scope. Manages projects to achieve departmental goals in accordance with company policies and practices.
Researches and analyzes appropriate and cost effective work space for all employees at various locations.
Process Management (25%)
Manages processes to facilitate prioritization of all projects for efficient use of resources within BWS.
Serves as primary contact for divisional move contacts. Establishes and maintains relationships with divisional move contacts.
Partners with Space & Allocation Analysts to actively maintain an understanding of clients` business environments, including strategies, processes and procedures.
Notifies and coordinates changes with appropriate internal and external groups.
Collaborates at a cross-divisional level to ensure success and issue resolution.
Works in conjunction with business partners to fully understand their needs with professionalism and empathy.
Project Management (25%)
Manages moves project scope and integration to ensure that the various elements of the move are properly coordinated.
Plans, schedules, and coordinates all the tasks that need to be accomplished according to the move schedule and timeline. Creates work break down structure and overall project plan based on resource availability. Verifies that services are performed as scheduled.
Interviews and selects vendors for furniture or moves for large scale moves involving multiple business units and/or divisions.
Facilitates deliverables and working sessions including the weekly moves planning meeting.
Ensures that proposed changes and/or solutions are assessed for their impact on business partner areas involved. Takes responsibility to resolve issues and communicate with stakeholders and customers.
Coordinates and facilitates all project communication between groups and individuals through the development of a project communication plan. Updates the SharePoint site.
Partners with Space & Allocation Analysts to proactively assist in defining direction and identifying business partner requirements. Checks in with Space & Allocation Analysts on large sale projects to ensure successful completion within time and budget constraints and service level agreements.
Data Collection and reporting (15%)
Collects and reports quarterly metrics including move and space allocations data. Develops quarterly and ad hoc reports.
Updates IWMS with new cost centers, department names, and division names.
Updates new and separated employee locations in IWMS.
General Divisional Services (5%)
Serves as primary point of contact regarding standards and expectations related to BWS service offerings.
Maintains oversight of standards and guidelines associated with general services across all facilities (leased and owned).
Provides coordination of service delivery expectations across facilities to ensure consistency for business partners.
Partners with other BWS departments in the development of standards and adherence to general service parameters and expectations.
Determines when thresholds associated with service parameters are exceeded and partners with other BWS departments to adjust service expectations when necessary.
Partners with other BWS departments to ensure that service level agreements are up to date, consistent and in accordance with service parameters.
