Senior Administrator- Purchasing

The Senior Administrator position is responsible for the data management, supporting tools, processes and projects to support Branchburg Procurement. The Senior Administrator will manage Purchase Order Creation and Issuance, Invoice tracking, Supplier Change notification, Supplier spend analytics, RFxs, eAuctions and contract archiving. The specialist would also produce reports out of eSourcing and SAP and assist with special projects. The Senior Administrator will also support a variety of Procurement tasks including but not limited to the acquisition of materials and related services and supplier management in support of Commercial Manufacturing and Quality. This includes the responsibility, authority and accountability to make commitments with supplier for assigned items and services. They will also assist in the day-to-day management of assigned supplier business relationships and maintain a high level of customer service. All activities are to be in compliance with applicable cGMP’s, SOP’s and Regulatory requirements.

Responsibilities:

Manage SAP activities including input of Purchase Requisitions, project data and report generation.

Preparation of project reports and presentations utilizing Microsoft Office Suite software including Word, Excel, PowerPoint and Microsoft Project.

Coordinate the approval of MSAs for new vendors and the renewal of existing MSAs that are expiring.

Support the preparation and revision of commissioning protocols, SOPs and job plans in Trackwise and assist implementers in managing the execution of summaries.

Ability to support multiple requests and work with various Sourcing areas within Global Procurement

Demonstrated teamwork and coordination of training programs

Additional Requirements:

Acquire, with timely delivery, requested materials (i.e. critical components, components, chemicals, filters, etc.) used in the manufacture of clinical & commercial products & related services. Assure that they are acquired from approved suppliers according to current Lilly Branchburg GMP controlled specifications and related cGMP & Regulatory requirements. Follow up with supplier to ensure delivery and material meet end-user objectives in a timely and cost effective manner. This includes both single delivery purchase orders and blanket purchase orders. Prepares and processes all related purchasing documentation: purchase orders, contracts, reports, returns, new/revised material request forms etc.

Lead and assist activities to log and evaluate supplier change notification according to Lilly Branchburg current standard operating procedure

Create and/or update assigned SAP Information Records for materials having Lilly Branchburg material codes (lot controlled and inventory non-lot controlled).

Extract supplier performance data from SAP for supplier performance reviews

Work with those suppliers to harmonize, attain, and maintain their adherence with Lilly standards. Collaborate with functional supervision, QA, and applicable internal stakeholders as applicable. Review and/or assist in the writing, updating or obsolete of assigned material specifications, as assigned

Initiate and expedite returns and applicable corrective actions procedures with suppliers.

Collaborate with various departments throughout Lilly, including Purchase to Pay, Logistics, QCI etc… in resolving customer and employee issues and concerns related to the acquisitions of materials and related services.

Support the Raw Material Qualification Team by obtaining information from the candidate supplier(s) needed during the qualification process in accordance to the current standard operating procedures.

Monitor and address changes to contractor status in ISNet to ensure that contractors meet Lilly NJ-NY safety and insurance requirements and to ensure that purchase orders can be issued in time to meet project milestones

Experience with SAP GUI selections such as GPR, B2P

Knowledge of running reports from SAP and Spotfire and familiarity with SOx (Sarbanes-Oxley) controls is desired

Knowledge of eSourcing system, P2P processes and other tools such as Spotfire is a plus

Ability to network and influence across all levels of management and across organizations

Basic Qualifications

Minimum 5 years Procurement experience, preferably in the Biotech or Pharmaceutical Industry.

Bachelor degree (preferably Technical in nature)

Completion of Post Offer Exam, Completion of Work Simulation or Completion of Administrative Skills Testing if applicable.

Additional Skills/Preferences

Microsoft Office (Word, Excel, PowerPoint), SAP experience required.

Knowledge of principles of business and accounting practices and Sarbanes Oxley

Exposure to contracts and/or contract law helpful.
