Coldwell Banker Residential is currently seeking a Full Time Agent Assistant to work out of our Devonshire branch office. The Agent Assistant is responsible for the support of agents in the office. This position will help agents as scheduled with a variety of general Real Estate related administrative tasks including but not limited to report production, contract review, vendor coordination, creating/routing disclosure packets, etc. This position will display a high level of customer service, have strong written and oral communication skills, math aptitude, attention to detail and excellent interpersonal skills.

Essential Job Duties:

Agent Support: Specified time, booked with individual agents to provide administrative support.

Includes but not limited to:

Contract Review- determine any missing items in a given contract and work with agent and client alike to resolve.

Conditions and Inspections- work with vendors, agents and clients in booking and finalizing any needed inspections or resolutions to inspections.

Reporting- compile, execute and communicate reports as requested by individual agents

Other Administrative- other administrative duties as requested by agent (i.e. logging contingencies, creating disclosure packets, etc.)

Other Duties:

Other administrative responsibilities within the office as needed, along with serving as the back-up to other positions in the office during any absence.

Preferred Qualifications:

High School Diploma or equivalent work experience required.

Real Estate License required (can be inactive, but not expired);

this position is not authorized to sell Real Estate.

Two plus years of prior administrative experience a Real Estate office required.

Strong customer service and creative problem-solving experience.

Technologically proficient in all areas including but not limited to: familiarity with various operating systems on PCs and Macs and ability to navigate computer software and hardware

Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher, and Adobe programs such as Adobe Acrobat

Strong verbal and written communication skills.

Ability to interact successfully with both internal and external customers at all levels.

Ability to multi-task, prioritize and be flexible with changing business needs in a team environment.

Position Type and Expected Hours of Work:

Travel is typically not required.

Scheduled hours are based on business need.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

The ability, with or without accommodation, to move around the office, remain stationary in either a sitting or standing position and to move physical office locations is required. This would require the ability to move, bend or stand as necessary. The employee must occasionally lift office products and supplies weighing up to 20 pounds. Must be able to physically, with or without accommodation, operate a computer, phone and/or copy machine. Must possess the ability, with or without accommodation, to express oneself, communicate with others, listen and exchange information.
