The Purchasing & Inventory/Invoice Specialist is responsible for the processing, monitoring, and maintenance of construction, design, and real estate invoices and inventory purchasing.

Job Duties:

Invoice Processing:

Processes of all construction, design, and real estate invoices for payment and continuously monitors invoice processing

Ensures that all invoices have all necessary backup prior to submitting for payment in compliance with financial policies and procedures

Acts as the main contact for all internal departments and external partners about invoice process and tracking and for all external partners and vendors about invoice

Creates all necessary internal reports monthly for Franchise department for billing to franchisees

Maintains and distributes all necessary internal construction reports for monthly Corporate stores

Maintains and files all approved/signed budgets

Verifies allocation of all invoices against proper approved budget

Acts as main liaison between RE&C and Fixed Assets departments and Accounts Payable departments

Purchasing & Inventory

Creates purchase order (P.O.) or “Request for Quotes” for all projects and providers for all Owner Provided Items (O.P.I.)

Tracks all O.P.I vender inventory versus project needs

Maintains and updates bi-monthly O.P.I. inventory report and all vendor contracts

Verifies and updates all O.P.I. costs and communicate changes to construction and store planning

Processes all Furniture/Fixture/Equipment (F.F.E.) orders from all stores as requested through Facilities Department Main RE&C liaison for purchasing department for all Request for Purchase (R.F.P) projects

Devises ways to optimize inventory control procedures

Reports stock levels and other issues to upper management

Education and Experience:

High school diploma

Associate degree in related field preferred

2 years’ construction administration experience

Proven experience with inventory management or similar experience

Proven work experience with Accounts Receivable

Required Skills:

Excellent knowledge of data analysis and forecasting methods

Ability to accurately track inventory and create reports

Ability to think analytically

Strong math skills

Excellent organizational and planning skills

Outstanding communication and interpersonal abilities

Reliable and trustworthy

Ability to recognize advantageous deals by evaluating offers and quotes

Ability to foster relationships with key vendors (subcontractors, architects, and vendors, etc.)

Familiarity with advanced formulas in Excel

Excellent analytical skills along with the ability to create and present detailed reports

Ability to accurately process numerical data

Problem solver

Ability to read blue prints and store floor plans
