Procurement Manager, Global Business Marketing

The Global Business marketing team is looking for an experienced Procurement Manager to provide procurement support domestically and internationally (US, Canada, EMEA & APAC). This role requires the ability to problem solve, identify root causes, and expedite issues as necessary. This person will provide a superior level of customer service and follow up on a variety of issues and a high level of professionalism and integrity with the ability to work with confidential information. The successful candidate is a highly motivated team player that can work well under pressure, and thrive in a fast-paced environment with minimal supervision. This is a full-time position based in our New York office.

Responsibilities Create purchase requisitions/POs and issue change orders in Oracle

Support internal teams in procuring, drafting (for EMEA/APAC and North America), and managing contractor contracts

Manage regular check-ins with each team to ensure proper tracking against budgets

Train team members on procurement/sourcing process

Review and close out exhausted/completed purchase orders monthly

Maintain a database tracking the following: Pending/existing vendor contracts (PSA, SOW, SOW Amendments, Event Sponsorship Agreements)

Purchase Orders

Invoice payment statuses (making sure invoices are paid on time or invoices are not held up/missing, follow-up with BDO offices for international invoices)

Retainer fees and schedule

Aid the team in creating blanket POs

Assist team with lobbying contribution reports on a quarterly basis

Track, manage and maintain teams' budget, partnering with Finance on their projected spends, monthly accruals and budget reallocations on a quarterly basis

Ensure all agreements, purchases and initiatives comply with internal policies and controls

Continually institute best practices to bridge the business users' needs/objectives while complying with AP, Legal, Sourcing and Purchasing requirements/controls

Partner with Suppliers team to onboard new vendors, reopen inactive vendors, and extend vendors to other regions

Partner with Purchasing to ensure all requisitions have appropriate documentation

Partner with BizApps to fix bug issues within the Oracle system and approver routing delegations

Partner with AP to resolve invoice match exceptions and provide vendor communication to resolve invoice format issues

Partner with Legal/ Sourcing to manage contract priority tracker, attend office hours to provide additional liaison support, and owning/updating sourcing training documents for end user education

Partner with Finance teams to reopen purchase requisitions erroneously opened by stakeholders, and utilize budget tracker tool to reassign subtypes and provide YTD budget status updates to stakeholders

Work with Purchasing, AP, Legal, Sourcing, and Finance teams to create and fine tune processes

Support maintenance of budget tracking, subtype adjustments and classifications in Anaplan

Troubleshooting and investigation into p2p insights tool

Managing Office Hours for all regions (including LATAM)

Miscellaneous ad hoc projects

Minimum Qualifications 4 years purchasing or database management experience

4 years experience with Excel, Outlook, PPT and Word

Experience working and communicating with cross-functional partners internally and externally at all levels
