Marketing Administrative Assistant

Responsible for performing full administrative and secretarial duties of a responsible and confidential nature for executive level management and senior managers in the Marketing Communications, Media, and Product Marketing departments.

In this role you will:

Organize and prioritize administrative responsibilities to support the Marketing department.

Maintain calendars, schedule appointments, coordinate conference calls, prepare presentation overheads and communicate meeting details.

Coordinate events, meetings, and conferences. Prepare meeting agendas, set up meeting facilities, and make necessary travel arrangements. May attend/participate in staff meetings and prepare and distribute meeting notes.

Manage incoming calls, screen and distribute mail, maintain departmental files and order office supplies.

Research, compile and summarize data to prepare various reports, projects, or budgets.

Compose and distribute correspondence/memorandum from verbal/written direction or general guidelines. Ensures accuracy and completion within established timelines.

Contact resources to obtain information or materials or provide information to others as requested.

Manage the processing of all marketing-related vendor bills and serve as primary contact for all estimates and invoices to and from external agencies. Send estimates to agencies for billing and invoices to accounting department for payment.

Requirements:

High school diploma, G.E.D. or equivalent required. Post-secondary schooling (e.g., some college level business courses or vocational training) a plus.

5 years related administrative experience in a large size business supporting multiple management or executive level management.

Excellent oral and written English communication skills; strong telephone skills.

Thorough understanding of PC, including word processing, spreadsheets, graphics, presentations and database software.

Strong knowledge of Microsoft Office – including Word, Excel, PowerPoint, and Outlook.
