The Marketing Administrative Assistant
will assist with a variety of marketing activities that support Goldberg Segalla and the firm’s Marketing and Business Development department. This is a job for a highly organized person who loves to work both independently and as part of a team
and is comfortable working with all levels within the organization. The ideal candidate must be able to multitask effectively and balance working on multiple requests and projects on a daily basis.
Responsibilities
Provide general administrative support to the team related to business correspondence, accounts payable and general office workflow.
Assist the Marketing Manager in the maintenance and ongoing enhancement of Asana, the Marketing & Business Development team’s project management tool
Leverage Law Base, the firm’s HRIS, to pull data and prepare responses to Firm Surveys under the direction of department leadership
Support the team in the layout of proposal documents and final copy assembly into document templates, including using outline & index conventions
Serve as liaison and coordinate with Human Resources on the assembly of components, photos and materials for internal newsletters & communication deliverables
Assist in the editing and maintenance of department and firm wide marketing procedural documents and files
Maintain Marketing section of the firm intranet and assist with the updating and maintenance of administrative department sections
Maintain attorney profiles on professional legal sites including Best Lawyers and Super Lawyers; manage overall project deliverables, including attorney communication, associated with these awards throughout the year
Coordinate requests, communications, printing and distribution of business cards, as well as miscellaneous requests for print collateral
Assist with all marketing events, helping to coordinate in-person/virtual seminars and serve as back up on the administration of the firm’s webinar series, including day of live broadcast technical support
Support the execution of certain broadcast email communications, and survey assembly using the firm’s software program Concep
Ensure content in attorney presentations is on-brand and accurate; assist with creation and editing of PowerPoints as needed
EDUCATION/EXPERIENCE:
Associates degree OR relevant experience required in marketing, communications or business. Bachelor's degree preferred.
Advanced Microsoft Office suite skills, including Word, PowerPoint and Excel
Experience with Asana project management tool is a plus
Ability to learn new systems and software
A minimum of three years of experience in business, marketing or in an administrative support position charged with keeping track of department details and deliverables
Ability to manage multiple projects while prioritizing work assignments in a fast-paced environment
Excellent organizational skills
Excellent attention to detail
