Job Description

Essential Job Requirements

Major responsibility is to ensure the office is maintained and the employees have a comfortable, safe environment in which to work by managing the timely and accurate provision of office and facilities services

Oversee the provision of security badges for employees and visitors Create security badges for new hires for in-house security system

Remove terminated employees from security system

Replace broken or lost security badges

Review camera systems when necessary and be sure all cameras are working

Run any security reports for auditors or when requested for HR

Schedule service when necessary for security or camera systems

On call 24/7 to activate badges in an emergency or when employees do not have their badges

Assign office and cubicle space to employees and coordinate any moves Keep floor plans and seating charts up to date

Coordinate maintenance, office build-outs, remodeling and related activities with building management company as required

Coordinate the company’s safety and security needs with building security company staff when the need arises

Supervise and schedule day porter(s) to be sure offices, cubicles, break areas, coffee bars and restrooms are clean and stocked with the necessary supplies

Supervise and schedule day to day activities for the receptionist/administrative assistants, including scheduling, training and performance review of team members Oversee copiers – create helpdesk tickets for supplies and maintenance

Create tickets for office and break room supply orders – supervise distribution

Once made - approve snacks, coffee, cake and fruit orders

Coordinate any special events including parties or luncheons as requested by management

Manage mailroom activities including the shipment, receipt and distribution of letters, packages and other deliveries as necessary

Oversee parking

Assist with blood drives and other company approved charitable activities

Maintain Front Desk procedure book

Schedule cleaning of ice machines - quarterly

Schedule regular pest control services at all area locations

Schedule on-site shredding services if needed

Coordinate repairs with facilities engineering personnel or building management to keep office lights, offices, cubicles and carpet functioning and replaced as needed

Communicate with coffee vendor to keep approved products stocked and fresh

Assist Facilities - keeping permits for locations up to date

Oversee obtaining vehicle license renewals from AP and being sure license tags/stickers are put on the right vehicles

Assist legal in being sure all facility related COI are kept up to date

Coordinate air conditioning/heating system functions and plumbing issues with Facilities/Building Management

Communicate regularly with employees about any issues that affect the office or activities being hosted

Keep lines of communication open with all area locations to be sure employees know about any events affecting them or resolving any issues they have with break room, cleaning or office supplies

Approve AP invoices that relate to office facilities

Occasionally purchase supplies or food for special events requiring leaving the office to make the purchases

Occasionally visit the other area locations to check any issues

Budget Responsibilities

Track all office supply, coffee, snack, cake, fruit, cleaning and office furniture expenditures

Assist in yearly budget creation for the Facilities department

Project any future expenditures for repairs, maintenance, furniture and supplies


Previous experience in office management or other related fields

Ability to prioritize and multi-task and delegate responsibility

Strong organizational skills

Excellent customer service skills and a strong attention to detail

Good Communication skills

Essential Physical Requirements

Meet or exceed attendance levels and punctuality requirements as outlined by policy

Must receive favorable results of a background investigation

Must have reliable transportation available 24/7/365
