\t\t\t\t\tPRIMARY PURPOSE:Provide internal support services to all employees and direct support to facilities/building management team. Perform various clerical, administrative and general office duties involving report writing, word processing, invoice coding and tracking, file and records management, budgetary tracking, and telephone support for the regional office. Perform analysis of statements, invoices and prepares spreadsheets and reports as requested.ESSENTIAL DUTIES & RESPONSIBILITIES:
Create and manage various Facilities and building management services reports.
Perform monthly audit and analysis reports for bus, parking, access cards, etc.
Administer day-to-day facility office operations, including moves/adds/changes, vendor maintenance, and work ticket system.
Provide customer service for facilities group by monitoring \u201chelp desk\u201d calls and work tickets.
Coordinate new hire and separation processes including bus or parking, name inserts, location set-up, etc.
Develop and maintain department processes, procedures and electronic filing systems.\u00a0 Ensure ongoing improvement through evaluation of current processes.
Coordinate and ensure compliance with, but not limited to: city, state and local authorities related to OSHA, DOT, ADA and fire district regulations, etc.
Back up duties to include all positions and responsibilities of facilities staff.
Responsible to assign and prioritize work tickets and daily responsibilities for facilities help desk; coordinates the work to be completed but is not responsible for formal supervision of employees/contractors.

Position Requirements
\t\t\t\t\tEDUCATION:High School diploma\u00a0EXPERIENCE / SPECIFIC KNOWLEDGE:
Minimum 5 years direct work experience in data analytics, reporting, and operations responsibilities.
Strong analytical, reporting, and problem solving skills with the ability to resolve complex issues.
Advanced knowledge of excel and data analysis.
Ability to deal with people with tact, courtesy and professionalism.
CERTIFICATIONS, LICENSES, REGISTRATIONS:Must possess and maintain a valid driver\u2019s license and a driving record satisfactory to the company and its insurers (for travel).COMPETENCIES, SKILLS, AND ABILITIES:
Expert in Microsoft Excel and intermediate proficiency with all other Microsoft applications (including but not limited to Word, Outlook, PowerPoint) for the purpose of word processing, spreadsheets and information retrieval.
Strong reading, listening and analytical skills and logical thought processes, with the ability to identify and resolve complex issues/problems.
Must possess and regularly demonstrate excellent communication and customer service skills.
Must possess and always demonstrate a professional attitude and appearance, and a positive disposition.
Ability to successfully organize and perform multiple tasks simultaneously, frequently under strict deadlines.
Ability to analyze events at the transaction level, and apply sound and consistent resolutions to such events.
Ability to write routine reports and correspondence.
Must be able to maintain confidentiality.
Ability to actively and positively contribute to Facilities team strategies.
Ability to successfully perform the required and expected duties with little direct supervision.
Ability to work with a team, take direction from supervisor(s), focus attention on details, follow work rules and adhere to established work schedules.
Must be able to perform all essential and marginal functions of the job.
PHYSICAL DEMANDS:Must be able, in a safe manner, to regularly lift/carry/move, up to 40 pounds on an ongoing basis.WORKING CONDITIONS:
Light travel or as needed to coordinate and perform standard facilities projects at satellite locations.
May be required to carry a company-provided cell phone/pager, and respond during working hours.
Overtime including weekends or as needed may be required.
Job level commensurate with experience and skill sets.
The successful candidate will be required to clear a drug screen and a complete background check, including credit report, after an offer has been extended and prior to being employed.
Bachelor\u2019s degree is preferred.
General knowledge of facilities management or property management is highly desirable.
Ongoing education in a related field such as IFMA and/or BOMA will be considered.
