Description:

SAIC has an immediate opening for an Executive Assistant to provide administrative support to the Chief Human Resources Officer (CHRO) and the Senior Vice President, Total Rewards (SVP). The Executive Assistant is responsible for executing a wide range of administrative and executive support-related tasks and activities. The Executive Assistant often works independently with little or no supervision and interacts with Executive Leadership, Board of Directors, SAIC staff at all levels, and external customers and partners in a dynamic and fast-paced environment. Absolute confidentiality, discretion and a high degree of professionalism are critical to this position. The position is located in Reston, VA.

Primary responsibilities include the following:

Manage the day to day schedules of the CHRO and SVP including internal and external commitments and coordinate preparation and logistics for meetings and special events. Specifically, the Executive Assistant will:

- Arrange complex and detailed travel plans, itineraries and agendas. Generate and track expense reports and coordinate processing of specific purchase orders and invoices.

- Answer incoming phone calls for the CHRO and SVP and direct calls to appropriate parties or take messages.

- Review and analyze incoming memos, letters, and inquiries to determine their significance and distribute to appropriate party and ensure actions are complete.

- Research, compile and develop documents and presentations to prepare the CHRO and SVP for meetings.

- Open, sort, and distribute incoming correspondence, including faxes and email.

- Maintain sensitive files, ensuring confidential items are handled appropriately and in a timely manner; make copies and other administrative duties as assigned.

Work closely with other executive officers of the company as well as their executive support to ensure schedule coordination and provide support when other executive assistants are unavailable as requested.

Provide project management support for key internal and external ‎events and manage special projects as assigned.

Proactively take charge of situations and understand the importance and urgency of issues while maintaining a calm and organized environment. Use independent judgment, initiative and tact to make administrative decisions, resolve issues and escalate to the appropriate areas in a timely manner with careful regard for confidentiality and in accordance with the company’s policies and procedures. Constantly look for ways to increase organization, improve efficiency, and solve problems while meeting deadlines.

Partner with key administrative staff across the enterprise and provide a bridge for smooth communication between the CEO’s office and other parts of the company. Demonstrate leadership and professional maturity to build relationships crucial to the success of the organization and as an agent of the CEO. Engender credibility and trust with all levels of staff and executive leadership.

Qualifications:

Qualifications Required Skills and Education:

- A minimum of ten years of directly related experience providing executive level administrative support with strong organizational skills.

- Previous experience supporting a C-level executive, preferably a CHRO.

- Ability to prioritize workload and manage multiple work requests is essential.

- Must be able to organize meetings and manage multiple calendars and schedules.

- Strong working knowledge of Microsoft Office suite of products including but not limited to Word, Excel, PowerPoint and Outlook.

- Solid written and verbal communication skills required.

- Experience in writing or previous work in communications is a plus.

- US Citizenship required

Desired Skills and Education:

- BS/BA degree, preferably in business administration, accounting, economics or related field, or equivalent experience and training is preferred.

- Prior experience in creating Powerpoint briefings and presentations and graphics preferred.

- Working knowledge of federal government contracting is.

- Previous internal company experience with administrative processes and systems a plus.
