ABOUT THE JOB (JOB BRIEF) Under general supervision, provides administrative support to an Executive and other professionals as needed. Duties will include working closely with all parties that report to the executive, working on confidential projects, creation and design of customized PowerPoint presentations, use excel and others tools to provide vision and clarity to ongoing goals and initiatives, scheduling and managing travel for the executive, managing calendars, expense report responsibilities and more. ESSENTIAL JOB FUNCTIONS
Ability to work independently and perform administrative functions with a minimum level of direction; anticipate issues and needs to take proactive steps to resolve situations.
Be able to multi-task with high degree of competency and with a positive attitude.
Be able to work in a dynamic professional environment requiring high degree of flexibility and ability to cope with changing priorities.
Interact with executives, clients and other departments as a primary point of contact for executive(s).
Prepare a variety of correspondence and/or reports, complex PowerPoint presentations and Excel spreadsheets.
Strong attention to detail, good organizational, technical, oral and writing skills.
Maintain positive attitude, embrace and assume responsibilities in accordance with position; team player.
Manage extensive executive calendar requirements; scheduling detailed multi-party meetings, maintain departmental calendars as needed.
Make complex travel arrangements for executive and team as needed.
Manage e-mail and calendars for executive and team as directed.
Complete and approve expense reports; code and send invoices for payment, follow-up on payments.
Planning and coordinating meetings within the team; setting up web-based meetings, recording minutes and providing follow-up.
Exercising considerable judgment in working with highly confidential information.
Performing unit specific administrative/project work as required.
Provide support for on-site events (scheduling, food service, setting up etc.) regularly and for trade shows/meetings/off-site events (payments, event orders, booth assignments, etc.) as assigned.
Maintain department organizational charts, internal intranet pages and participate in department initiatives/projects as needed.
Provide support and approvals for internal systems as assigned.
Handle other administrative duties and projects as assigned.
Minimum 5 years administrative assistant experience with senior level executives in a corporate environment
Minimum education of a High School diploma; Associate Degree in a technical or Adminstrative program preferred.
Demonstrated organizational and time management abilities.
Proven technical competencies (excellent word processing, powerpoint, spreadsheets, graphics, etc.) and navigation of Internet.
Ability to learn travel, expense and other internet based systems as needed; experience with such systems and Lotus Notes experience preferred
Ability to establish and maintain effective working relationships among team members and product and support partners.
Self-motivated and able to anticipate needs of the team.
Experience working in the financial services industry is a plus.
