The position  reports directly to the CEO and is responsible for providing administrative support to the CEO and CNO.Required Education, Certificates, License, RegistrationsHigh School DiplomaOne year related healthcare experience preferred.Five years administrative assistant experience.Essential Duties and ResponsibilitiesActs as executive administrative assistant in the performance of administrative/secretarial/clerical duties for the CEO and CNO.Maintains the executive administrative office to include answering the telephone, filing, record keeping, communications, scheduling, minute/note taking and the coordination of activities and calendars. Organizes, secures and assures the confidentiality of all files to include administrative files, minutes, contracts, and medical staff credentials.Prepares and maintains the Leadership Council calendar to assist in the location and communications with each member of the Administrative Council.Takes and prepares minutes of meetings as assigned. (including but not limited to; Leadership Council, Administrative Council meetings, All Hospital Staff meetings, Manager meetings, All ER Staff meetings) Organizes Policy and Procedure Committee including; agenda, policy edits, policy signatures and placing policies in company share drive. Maintains hospital contracts both in hard copy and electronic form including; payer contracts, vendor contracts and business associate agreements (BAA). Coordinates processing of applications, appointments, and administrative support services for medical staff and health professionals. Responsible for maintaining compliance with regulatory and accrediting bodies, participating in the development and implementation of credentialing processes and procedures, governance bylaws, department rules and regulations, medical staff, organizational, and/or practitioner/provider policies, maintaining an accurate practitioner database, and collecting and analyzing verification information. Occasionally prepares correspondence and responds to requests for information.Performs data collection and prepares reports, spreadsheets.Maintains constant communication with the CEO and CNO.Performs other duties as assigned. Board of Director Responsibilities: Handles correspondence with Board of Directors including; board meeting schedule and attendance.Organizes Board of Director’s meetings including; agenda, board packet with all documents, and conference room set up. Organizes and maintains Board of Directors documentation in accordance with Special District law including but not limited to; public notices and minutes. Responsible for maintaining compliance with regulatory and accrediting bodies, participating in the development and implementation of credentialing processes and procedures, governance bylaws, department rules and regulations, medical staff, organizational, and/or practitioner/provider policies, maintaining an accurate practitioner database, and collecting and analyzing verification information. Occasionally prepares correspondence and responds to requests for information. Performs data collection and prepares reports, spreadsheets.Maintains constant communication with the CEO and CNOPerforms other duties as assigned. Supervision Received            On-going by CEO. Qualification RequirementsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
