Job Summary

The Executive Assistant (EA) supports Sr. Vice President/Executive Level Management to ensure their ability to effectively and efficiently perform their organizational responsibilities. He/She manages executive schedules to utilize their time most effectively and coordinates travel, accommodation, and events to ensure timely attendance at meetings and events and that executive needs and preferences are accommodated. This position filters correspondence to ensure executives only receive relevant and critical information requiring their attention, coordinates the timely receipt of information required from other executives and senior managers, and composes and edits executive communications. He/She builds relationships throughout the organization, exercises judgment and discretion, handles complex and difficult situations diplomatically, and represents the executive's office in a professional manner. The Executive Assistant to the Management Committee reports to the Human Resources Administrative Supervisor.

The Executive Assistant will review and filter incoming correspondence to direct communications not requiring the executive's attention to appropriate channels and to ensure the executive receives relevant and critical correspondence in a timely manner. He/She will build and maintain a network of relationships (e.g., Management Committee members, executives' direct reports, HR, Legal, mail room, switchboard, etc.) to obtain information and assistance as required and to portray a professional executive's office. The Executive Assistant manages executive contacts (e.g., business contacts, customers, social contacts, etc.) to ensure executives have access to current contact information in the office and when travelling.

Other Duties

Prepares and edits executive communications (e.g., memos, agendas, letters, presentations, etc.) to ensure accuracy and consistency and the executive's message is delivered as intended.

Understands and responds to executive needs and requests to achieve timely and successful results.

Creates and submits executive expense reports to ensure receipts reconcile with expense claims and UPS and Internal Revenue Department requirements are met.

Receives and vets invitations and meeting requests to determine attendance priorities and respond appropriately on behalf of the executive in a timely manner.

Develops knowledge of cultural (e.g., foreign delegations, etc.) and government nuances to ensure guests are received appropriately and a professional image of UPS is projected.

Demonstrates a working knowledge of techniques for soliciting and gathering information; identifies appropriate sources of information.


Experience using Microsoft Office Suite to including Access, Excel, PowerPoint, and Word ~ Preferred

Bachelor's degree ~ Preferred

Master's degree or working towards one ~ Preferred

Project management experience ~ Preferred

Marketing experience ~ Preferred

Experience creating executive summaries from a PowerPoint deck~ Preferred

Experience with analyzing data~ Preferred

Experience providing basic travel and appointment requests~ Preferred
