Job Summary: The Environmental Health & Safety (EHS) Administrative Assistant provides administrative support to the EHS department as well as general assistance to Refinery Manager as appropriate. Responsibilities include but are not limited to managing calendars, data control for refinery audit and observation programs, coordinating schedules, organizing travel itineraries, preparing expense reports, scheduling and coordinating company events, and various administrative support tasks. Major Job Tasks: * Data entry and support for refinery Audit, Observation, and Performance Points Program. * Manages calendars and phone messages, schedules and coordinates conference calls and internal and external meetings, and prioritizes agenda action items efficiently. * Assist with preparing and consolidating Refinery and Corporate performance review presentations. * Manages Boot Voucher, Nomex, Eye Glass programs * Schedules meetings, prepares travel itineraries, completes travel expense reports, and arranges company visits and agendas. * Assists with dissemination of information from EHS and Refinery Manager, and Directors. * Collects and prepares information for meetings and discussions. * Reviews incoming correspondence and makes independent decisions regarding priority. * Serves on committees and/or attends meetings for various organization-wide events. * Assists with Refinery managers P-Card statements; reconciles P O's and receipts with statement and submits for approval. * Arranges meal and travel arrangements as needed. * Performs other duties as assigned or requested. Requirements: * High School Diploma and 3 years administrative experience or equivalent combination or education and experience. Knowledge/Skills and Abilities: * Knowledge of department practices and procedures. * Knowledge of and skill in using computer software, including MS Word, Excel, and Power Point. * Mathematical skill to add, subtract, multiply, or divide numbers for balancing or compiling figures. * Skill in operating various office equipment, such as personal computer, calculator, facsimile, copy machine, document shredder, and typewriter. * Excellent written communication skill to compose letters, memos, and basic reports. * Strong attention to detail and superb organizational skills. * Strong project management skills. * Extremely detail-oriented with an ability to work independently. * Oral communication skill to communicate with customers, co-workers, and business contacts in a courteous and professional manner. * Interpersonal communication skill to work effectively with others in order to coordinate activities and arrive at mutual decisions. * Ability to read and understand documents, such as procedure manuals, reports, and correspondence. * Ability to apply common sense understanding to carry out detailed oral and written instructions. * Ability to pay close attention to detail and coordinate various activities simultaneously. * Ability to provide a high level of customer service by answering questions, providing accurate information, and responding to requests on a timely basis. * Ability to provide support to other employees by providing them with accurate information and responding to requests on a timely basis. * Ability to plan and schedule activities over the course of a month including identification of resources, implementation, monitoring, and follow-up activities. * Ability to identify, define, and solve problems involving several concrete variables in standardized situations. * Ability to work effectively with general supervisory guidance. * Ability to maintain confidentiality. Additional: * Must provide authorization to review MVR and is subject to company insurability requirements.
