The Customer Service & Dispatch Representative is responsible for a variety of roles, including: monitoring load status’ to make sure loads are hauled within the time frame of Sunoco’s standards by both company fleet and 3rd party carriers (approx. 1000 loads/day), updating master data, and ensuring all data transmits successfully between our corporate office and our company fleet (dispatch/communication/ticket data, approx. 250 tickets/day). The Customer Service & Dispatch Representative is also responsible for working key reports that are crucial for monitoring our Crude Trucking performance (aging report, reject report, automatic load report). This representative will work directly with our internal and external customer base to resolve all inquiries.

Primary Responsibilities

The duties of this position include but are not limited to the following:

Interface with customer, drivers, and field supervisors by phone, e-mail and fax to ensure that movements of loads are performed within Sunoco’s service standards by Sunoco trucks or third party carriers.

Responsible to update lease master data with correct carrier assignment to ensure that load request are properly dispatched to the designated carriers.

Monitor software communication errors to ensure that all data (dispatch/communication/ticket) successfully transmits back and forth from TMW (in office) to PeopleNet (drivers) and vice versa

Ensure successful dispatch to assure loads are sent to 150 drivers for optimum efficiency and monitor haul report to make sure service level is acceptable

Respond to customer inquiries ranging from oil movement status, Texas Railroad Commission issues and ticketing information

Work with field supervisor to establish proper dispatch/tendering procedures to assure accurate load delivery to over 5-10 carriers moving more than 100-200 loads per day.

Assist in the ticket reconciliation processes to tie back each load tendered or scheduled to a ticket.

Reviews load aging report, rejections report, auto reports and other status or performance reports to ensure that loads are hauled per company standards.

Field requests for tank strapping needs. Use reporting to prioritize requests. Provide the results to both customers and supervisor.

Work directly with customer base, Crude Acquisition, and Field Management to resolve complaints and inquiries.

Minimum Requirements

Minimum requirement is High School diploma and 2-3 years related experience.

Excellent computer skills in MS Office and various mainframe applications.

Ability to organize, perform and prioritize various functions in a fast paced environment.

Must be a self-starter and able to work with minimal supervision; detail oriented.

Strong communications skills (verbal and written).

Preferred Experience

Bachelor’s degree in Business, Logistics, supply chain or equivalent preferred.

Direct experience with dispatch and truck mobility suites preferred.
