A Corporate Accounts Payable Administrator handles the weekly function of all corporate invoices including accurately coding, preparing timely, reconciling vendor statements and resolving vendor inquires. Additionally, this position prepares and processes all accounting functions for the Starbucks at Lithia’s Corporate Headquarters and ensures timely processing of manual check requests. This individual works closely with internal advertising, corporate accounting, dealership accounting and Support Services leaders to ensure payables are processed timely, expenses are accurate and appropriate and that financial controls are in place and operating effectively.

Job Description

ESSENTIAL FUNCTIONS AND DUTIES

Corporate Accounts Payable

Ensure all internal advertising and Lithia’s print shop invoices are processed timely and coded accurately. This includes reviewing invoices processed during the month to ensure all significant, recurring invoices are processed and those monthly recurring journal entries have been made.

Assist in the reconciliation of vendor statements.

Timely address and resolve vendor and customer (dealership and corporate office personnel) inquiries.

Prepare and post monthly journal entry from the internal advertising budgets, working closely with the advertising personnel to post budget adjustment as needed.

Prepare and post monthly co-op journal entry to recognize shared advertising expenses with manufacturers, working closely with the co-op and dealership personnel to assist with questions regarding schedule reviews.

Facilitate monthly accounting processes for Lithia’s print shop which includes maintaining accounts receivable schedule, posting sales journal entry and month end inventory.

Starbucks Administration

Ensure all Starbucks invoices are processed timely and coded accurately.

Process Daily Deposits and Weekly Sales reports.

Review and approve monthly bank reconciliation.

Process all month end related journal entries and prepare and maintain support for the month-end process.

Manual Payment Processing

Timely process all check request according to guidelines. This includes obtaining signatures and facilitating mailing of those payments.

COMMUNICATIONS

Maintain ongoing communication with advertising, corporate accounting and corporate office leaders.

Ensure appropriate professional relationships are built and maintained with advertising, corporate accounting and dealership accounting personnel.

ADDITIONAL KNOWLEDGE, SKILLS, AND ABILITIES

The following knowledge, skills and abilities are needed to be successful in this position:

Strong attention to detail and sense of urgency,

Excellent written and verbal communication skills, and

Must work effectively with internal and external teams, communicating and participating in a constructive manner.

PREFERRED QUALIFICATIONS

Progress towards or attainment of a Bachelor’s degree in Accounting or Finance from an accredited university, or commensurate experience.

Must exercise independent judgment and care in decision making process.

Maintain a high level of integrity and independence.

Must have the ability to communicate effectively with all dealership and corporate office personnel.

Proficiency in Microsoft Excel.

Experience with large ERP systems (Oracle, SAP, Workday, etc.) desired, but not required.

Working Conditions: Indoor office environment, considerable use of telephone, computer and other office equipment.

Lithia Hiring Requirements

High school graduate or equivalent.

18 years or older

Possess an acceptable driving record and valid driver’s license in state of residence

A criminal history background check will be conducted prior to beginning employment

Clear pre-employment drug screen
