Job Description:

Principal Accountabilities

Provide expert internal customer service and sales support to the global Inside Sales Team

Assist in maintaining performance expectations to further enhance Arrow’s position with each customer

Responsible for handling data requirements associated with transportation, audit, and meeting contractual Service Level Agreements with respect to the S-Tech business. Recommending solutions and/or action plans to internal team staff

Responsible for handling discrepancies, resolving hold issues and updating the relevant IT systems to reflect the outcome

Responsible for ensuring databases are updated for each transaction from Order Placement to Invoicing and ensure accuracy of data

Provide administrative support by preparing correspondence, reports, matrixes, slide presentations and charts

Analyse key company data from various sources, e.g. ERP Systems to produce weekly, monthly & adhoc reports. Generate reports in a timely manner to meet contractual obligations, and ensure report accuracy

Generation and tracking of quotations and purchase orders and maintaining transaction data relating to inbound customer orders

Provide assistance across the business for stock management and dispatches

Invoice generation and invoice audits, making sure that accurate contract pricing is reflected

Support the Internal Sales Team and Customer Experience team with KPI Data, Case Management and Quality Assurance processes by collating and analysing information

Carry out varied and wide ranging administration tasks for the whole business ensuring deadlines are met and customer expectations exceeded

Maintain excellent customer focus with the aim of delivering outstanding experiences, proactively demonstrating the desire to achieve successful outcomes in a timely manner

Develop and train to meet Arrow Competencies

Due to the nature of this role there may be a requirement to work a shift system

Job Complexity

Has developed knowledge and skills through previous administrative support work experience

Works within established procedures with a moderate degree of supervision

Capable of working in a matrix structure with multiple reporting lines

Identifies the problem and all relevant issues in straightforward situations, assesses each using standard procedures and makes sound decisions

Capable of face to face and remote training, able to follow written training and work instructions

Maintains focus when faced with maintaining, sorting and analysing large volumes of data

Essential Knowledge, Skills and Experience

Clear commitment to customer care

Effective interpersonal skills

Experience of working in a challenging commercial environment

Excellent written, numeracy and verbal communication skills, capable of fluently communicating in English

A good working knowledge of Microsoft Word, Excel, Outlook and Skype, capable of creating and using Excel sheets with complex formulae, Vlookup, Pivot Tables and Graphs

IT skills at sufficient level to understand, use and interrogate bespoke IT systems and applications with minimum supervision

Able to liaise confidently and professionally with other Arrow S-Tech team members working globally in different time zones

Experience of working with highly confidential and sensitive information

An excellent team player with a flexible approach

Able to prioritise workload, multi-tasking with minimal supervision and adapting to changing priorities

Able to make decisions and work under pressure

IT literate with aptitude to maintain and use a range of digital tools and methods of communication

Previous experience delivering a wide range of business support functions

Essential Qualification

Graduate level degree, having studied Maths and English at least till the Higher Secondary School or proven qualified by experience.
