Provide coordination and analytical support to the Indirect Procurement department including the performance of such functions as:
Providing administrative support for and becoming the resident expert in procurement department systems, including but not limited to Oracle, Ariba, PRGX (Spendtrax) and MS Access databases.
Providing analytical support by creating and running reports from Oracle, Cognos (Oracle data warehouse), Ariba, and MS Access; analysis of data via Excel through using functions such as vlookups, pivot tables, and advanced formulas.
Updating departmental website and Sharepoint sites. Acting as functional lead for testing of Oracle releases.
Providing support to Category Managers by updating analyses and / or templates for various stages of the procurement cycle.
Researching procurement best practices and tools. Maintaining relationships with market research vendors
Administer Oracle iProcurement system through the addition and updating of catalog items. Evaluate new requests for access and submit for approval. Provide assistance to users for status of orders. Identify and provide assistance on defect resolution.
Analysis and Reporting - Create new reports in procurement systems. Run existing reports on predefined schedule and distribute to necessary parties. Update templates by downloading data from procurement systems and forwarding finalized documents to category managers.
Attend Oracle release meetings and act as tester for new releases, identifying any problems prior to production release.
Provide admin support to the Ariba system including adding new users to the system, uploading Legacy agreements, creating and running new reports. Managing the throughput of certain low value contracts through the review and signature process.
Position will include the analysis of contract terms, throughput projections, cost reduction estimates and budget/forecast impacts. Expected outputs are regular reports to assist Department Director in allocating resources and providing updates on performance to senior management.
Oversees all aspects of the monthly auction of returned inventory at 3rd party facility & periodic asset disposals from stores/warehouses; vets perspective bidders, negotiates to maximize salvage value, ensures compliance to policies & procedures, loads liquidation lots/assets in Ariba and coordinates bidding events, ensures contract execution and payment before releasing inventory, and provides monthly reporting of liquidation results.
Acts as single point of contact for vendor disputes related to monthly auction with Supply Chain management.
Provides support to Category Managers by updating analyses and/or templates for RFP's and reverse auctions.
Assists Procurement leadership with payment terms extension project as needed.
Provides support to Buyers through addition and updating of catalog items.
Bachelor's Degree or equivalent work experience
One to two years experience and/or training
Area of Study in Business / Finance
Analytical / project oriented experience
Advanced Excel skills and competent in all other Microsoft Office tools (Word and Powerpoint) with propensity for learning new database and reporting tools (Ariba, Cognos)
Analytical, strong attention to detail, able to prioritize and multi-task.
Effective writing and oral communication skills
Builds relationships easily, self motivated, results oriented, able to overcome obstacles, and works well in a team environment.
Knowledge of Ariba Sourcing module
Be detail-oriented, organized, have great follow through in a fast paced work environment
Experience with auctions or asset liquidations preferred
