support to the Program Management team efficiently and proactively carrying out the operational and administrative tasks necessary for the smooth functioning of the program while maintaining the highest level of personal and professional standards and conduct. This position is located at

Key Functions

In this dynamic, fast-moving role, your key responsibilities will include:

Performing a variety of administrative tasks in support of the Program Manager, including preparation of documentation (letters, briefings), answering telephone calls, scheduling and prioritizing meetings, etc.

Managing the Program Manager's daily schedule which requires the ability to prioritize requirements and demands. Provide binder of materials which include schedules, meeting read-aheads and supporting materials such as biographies, action items and travel documentation.

Arranging for all travel. Prepares itineraries, arranges conferences and required support services.

Learn the Company and Program goals to prioritize work effectively and efficiently as a strategic partner who can anticipate the Program Manager's requirements

Monitoring pending projects, coordination of inputs for action items, and compilation of inputs into precise and accurate final documents.

Review email to identify outstanding actions and understand work history

Planning, coordinating and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc. Assess and improve processes as needed.

Performing research for project reports as necessary.

Maintaining state-of-the-art knowledge of Jacobs administrative support systems, policies and processes.

Maintaining security of highly sensitive and confidential information.

Working in a collaborative team atmosphere, where vacations are coordinated and coverage secured as necessary.

Setting an example for others in terms of competence, poise, accountability and professionalism




Requires high level of poise, tact and diplomacy in working closely, often under time pressure, with highly-sensitive information, with a diverse group of executives, government officials, high-ranking military officers, customers, managers and support personnel.

Exceptional Microsoft Office Suite skills including Excel.

Strong interpersonal, written and verbal communication skills and the ability to operate and team with Jacobs management, staff and clients is a must.

Apply strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy and follow through on a broad range of administrative support tasks.

Ability to independently assess situations and make decisions within broadly defined practices and procedures. Desired Education/Experience

Bachelor's degree and 3-5 years administrative experience with demonstrated successful experience

Physical Requirements:

Must be able to work at a computer for extended periods. Must be able to interact effectively with all levels of employees and customers.

Work Environment

Primarily work will be performed in an office environment; large complex with industrial and hazardous areas and materials

Equipment and Machines

Computers and General Office Equipment (e.g. phone, computers, copiers, printers)


With exception of approved leave and holidays, attendance is mandatory. Overtime may be required.

Other Essential Functions

Must take and pass a drug test and background check. Must put forward a professional behavior that enhances productivity and promotes teamwork and cooperation. Grooming and dress must be appropriate for the position and must not impose a safety risk/hazard to the employee or others. Must be well-organized with the ability to coordinate and prioritize multiple tasks simultaneously. Must be able to communicate effectively, both verbally and in writing. Must be able to interface effectively with individuals at all levels of the organization. Must be willing to travel as needed. Must be able to obtain and maintain a US Government clearance applicable to the position held.
