More information about Piedmont Natural Gas is available on the Internet at  http://www.piedmontng.com/Can be located in either Reidsville or Burlington. Position Purpose:This position provides clerical and administrative support to management and operations personnel at a district office or corporate department. The incumbent may also be responsible for coordinating special events and programs in support of community outreach and company-wide initiatives. Dimensions:The number of Administrative Specialist position varies depending on the size of the district or department. This position provides support to one or multiple supervisors/managers and does not supervise or direct other employees. This position can have contributory impacts to the district/department budgets but in insignificant measures.   Nature and Scope:The Administrative Specialist works under direction and supervision of management to assist with the department/district operational activities in providing services to customers and achieving business goals. The incumbent comes in contact with external customers, contractors and visitors as well as internal employees at all levels of the organization. The level of knowledge and skills can range from routine and basic at the entry level, Administrative Specialist I, to non-routine and complex at the advanced level, Administrative Specialist III. At the intermediate level II, the incumbent typically has sufficient knowledge of company’s policies, procedures and systems proficiency. Under general direction from management, this position exercises judgment within standard practices and instructions, and has some latitude in interpreting and varying how tasks are performed. Principal Accountabilities:Administrative Specialist II:·         Timely and accurately enter data into systems.·     Maintain files and records.·     Schedule meetings and make travel arrangements. May coordinate maintenance or repair work for facilities.·     Coordinate calendar for facilities and other activities as requested by Building Services department.·     Operate and maintain office equipment.·     Receive, sort and distribute mail.·     Compose correspondence and respond to routine requests/inquiries as directed by management.·     Compile reports of data and check for accuracy. Verify discrepancies and make corrections.·         Serve as the primary contact for inspections and construction projects.·         Process invoices and check requests or other accounting related documents.·         Process credit checks and file for job permits when necessary.·         Assist in the formulation of budgets and monitor for accuracy of accounting codes.·         Process third-party damages.·         Assist other employees with reporting of expenses.·         Track and report time for payroll purposes.·         Order and maintain inventory of office supplies.·         Perform on-going program maintenance for corporate initiatives such as wellness and safety.·         Plan and coordinate activities for special events.·         Perform other duties as assigned. Knowledge, Skills & Abilities:Minimum Qualifications:·         High school diploma or equivalent·         Proficiency in Microsoft Office software·         Knowledge of office practices, procedures and office equipment·         Effective verbal and written communication skills·         Professional appearance and telephone manner·         Ability to interact with other employees at all levels as well as with the public, contractors, vendors and representatives from governmental agencies·         Ability to prioritize and meet deadlines (Level II and III only) Desired Qualifications:·         Associate’s degree or training in office administration or office technology·         Prior work experience in the utility industry Physical Requirements:·         Able to work using a computer for extended periods of time·         Able to bend, stoop, reach overhead, lift and carry items up to 25 lbs. on occasionsPiedmont Natural Gas is an Equal Opportunity and Affirmative Action Employer.  Minority/Female/Veteran/Disabled
