Administrative Assistant to AVP Luxury Brands

The Administrative Assistant will primarily provide administrative support to the Luxury Area Vice President but will also support the Regional Luxury team. The Administrative Assistant will be responsible for all the administrative functions necessary to ensure the Office of the AVP runs smoothly and effectively. Duties will include preparing all correspondence, taking meeting notes, preparing reports as requested, coordinating meetings and travel, as well as monitoring communication so that the Executive is on target and aware of all priorities.

What will I be doing?

Coordinate, prioritize and organize the inflow of information for the AVP's attention

Conduct research as necessary in order to provide complete information

Anticipate the needs and requirements of the AVP and complete as necessary

Monitor incoming emails, prioritizing issues and responding to any requests possible

Maintain the AVP's electronic calendar, contacts listing and task lists as necessary

Create reports, drawing together all necessary information and formatting the same in a clear and concise manner

Coordinate all webinars and conference calls as necessary

Create PowerPoint presentations for internal and external clients as necessary

Promptly answer internal and external telephone calls; ensure a full understanding of inquiries and requests; transcribe complete messages and properly screen calls; re-route calls to appropriate Team Members as required; provide assistance wherever

possible to callers rather than transferring to the AVP's voicemail

Draft correspondence and memorandums based on minimal information, review for accuracy, and/or retrieve information from computer, database, spreadsheet, or word processing programs, to produce written correspondence that is free of error

Communicate effectively with different key players, including General Managers, Corporate teams, Regional team, owners, and guests, among others

Maintain file system for the AVP

Maintain correspondence and/or subject files for the department

Prepare travel schedules and itineraries, correspond to arrange and confirm reservation and meeting dates, locations, equipment, and catering

Must keep track of VISAS needed for travel and passport renewals along with Global Entry expirations

Complete projects as required by the AVP, working with minimal supervision and guidance

Some travel may be needed for certain meetings

What are we looking for?

To fulfill this role successfully, you must possess the following minimum qualifications and experience:

High School Degree/GED

A minimum of seven (7) years of administrative and/or clerical experience

A minimum of three (3) years of executive level administrative assistance experience

Extensive knowledge of Microsoft Office Applications, specifically Outlook

Ability to communicate with different levels inside and outside the organization including costumers

Ability to multitask; great problem solving skills

Great verbal and written communication skills

Some travel may be required (5%)

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

Associate's Degree

A minimum of ten (10) years of professional experience

Prior experience and knowledge in the Hospitality industry, preferably in Luxury Brands
