The Human Resources Administrative

Assistant is responsible for providing administrative support to the Corporate Human

Resources team.  Reporting to the Senior Vice President, Chief

Human Resources Officer, the incumbent is responsible for, among other things, assisting

with domestic and international travel arrangements, processing of invoices,

coordination of immigration paperwork, managing employee service award program,

organizing and supporting various company-wide programs, participating in cross

functional projects, maintaining databases (e.g., new hire feedback and exit

interview), and ad hoc reporting. The incumbent will also conduct research for

projects and is responsible for the maintenance of department documents and

systems.  The Human Resources

Administrative Assistant must display a high level of customer service, a sense

of urgency, be able to maintain confidentiality, and be able to work in a fast

paced and dynamic environment.

 

 

ESSENTIAL DUTIES:

Ensure

review and completion of new hire paperwork, including I-9s and new hire

policies; maintain the E-Verify database. Ensure completion of contractor paperworkHandling of all immigration paperwork, including

reaching out to employees to obtain and track documents and information.Assisting with domestic and international

travel arrangementsAnalyzing data and generating reports using

Microsoft productsPreparing presentations, analyzing data, and

various projects.Serve as central point of contact

for all employee paperwork coming through the HR department.  Monitor, review, track and forward paperwork

for processing, ensuring integrity, accuracy and

completeness of data.Maintain

department e-mail inbox and field all general incoming phone calls to

route to the appropriate department contact.Manage

service award program including vendor relationship.Scheduling

department meetingsAssist

in termination process by drafting letters, calculating severance payment

when applicable and terminating e-mail accounts and security badge access.Create

and distribute ID badges to new hires and maintain the e-mail inbox for

the corporate Security team.Processing of invoices and setting up

suppliers/vendors for the Corporate HR departmentMaintain

and update HR department forms, policies and procedures.

Assist

with various department initiativesCollect feedback data gathered

through employee surveys and exit interviews.Utilize ad hoc reporting tool to

design and provide miscellaneous reports.

Responsible

for the safeguarding of all personal information as required by data privacy

laws, Company policies, and department processes

Plan,

prioritize, and organize diversified workload for self and balance

multiple priorities effectivelyBecome

a key information resource for employees by routinely answering questions

and requests as related to Corporate HR programs and functions.General

Approximately 100%

performed in climate-controlled internal office environment working under

normal office conditions.  Approximately 5%

travel may be required in support of the position’s responsibilities.

hands, talk and hear.  While performing
