Administrative Assistant
Job duties

Coordinating daily calendars of senior managers, planning appointments and events, including setting up conference calls
Create regular reports and update internal databases

Facilitate internal and external communication (e.g. distribute information and schedule presentations)
Prepare and edit correspondence, communications, presentations and other documents
Order parts and supplies, maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

 

Conducts product acquisition research, collects and analyzes data to prepare reports and documents (vendor quoting, scheduling and maintaining part lead times)
Organizing and separating business expenses for separate corporate entities in QuickBooks
Customer invoicing,  paying monthly and vendor bills

Plan and reserve travel arrangements

Additional Candidate Skills  

Strong proofreading and editing skills

Advanced communication skills (verbal, written, electronic) and superior phone skills
Willing to run miscellaneous errands, for example, getting lunch during long meetings or running to FedEx.

Software

QuickBooks
Microsoft Office , strong Excel and PowerPoint skills
Photoshop or some artistic video editing software is a plus
Team viewer, Skype, Go to Meeting
