Administrative Assistant, Portland

Under direct supervision of manager, provides general administrative support to a department or group of professionals. Collects, compiles and analyzes moderately complex data and information. Provide sales support to one or more sales reps.

Responsibilities:

Provides admin support to the Portland office Equity Sales, Sales Trading and Trading teams

Coordination of travel and entertainment arrangements, expense reports and logistics for the Sales and Trading staff

Help manage expenses in the office; hold vendors accountable for service

Concur Travel and Expense processing for Portland team

Send Confirmations for NDR, client meetings

Add event/details into iPlanner

Log alerts for client activity in BD vision on behalf of Sales

Assist with onboarding/off-boarding Portland Equity Distribution

Coordinate client communication, research distribution and associated marketing activities

Coordinate Analyst Marketing events & roadshow logistics

Send model requests as requested by client calls/emails

Point person for Portland office: visitor registrations, supply ordering, conference room reserving, onboarding/offboarding assistance.

Requirements

3 years of relative experience

Minimum of high school diploma

Proficient PC skills in MS Office, especially Word, Excel and Powerpoint

Excellent written, verbal and follow-through skills
